Week 52: Self-Service Tenant Applications

Development Updates

The final week of 2025 focused on a major addition: end-to-end self-service tenant applications.

Most agencies cobble together multiple systems for the pre-tenancy process - one tool for applications, another for document collection, another for referencing. Different logins, data that doesn't sync, multiple subscriptions. We've built it all into LetAdmin.

Online Application Forms

Every property now has a public application link. Share it after viewings, and applicants complete their application themselves:

  • Personal details, employment, and income
  • Household composition and joint applicants
  • Right to Rent status
  • Move-in preferences

The form validates as applicants progress. When they submit, you receive a decision task in LetAdmin - structured data, ready for review.

Fully configurable: Customise welcome text, terms and conditions, holding fee instructions, income multipliers, and guarantor requirements. The application process adapts to how your agency works.

Joint tenancies handled properly: Each applicant gets their own portal access and completes their own checks independently. The application only progresses when all applicants have completed their steps.

Applicant Portal

After you invite applicants to proceed, they access their portal to complete the pre-tenancy process:

  • Confirm and update their details
  • Upload ID, proof of address, and Right to Rent documents
  • See payment details and indicate holding fee payment
  • Track their progress through each stage

Automated chase reminders: Daily emails and SMS to applicants who haven't completed their steps. Reminders stop automatically when tasks are complete or the application is cancelled.

This reduces "what's happening with my application?" calls dramatically. Applicants see exactly where things stand, and the system chases them so you don't have to.
