The application comes in at 4:47pm on Friday. Two applicants for the two-bed flat on Church Street. They've uploaded their documents: driving licences, utility bills, and Right to Rent share codes.
You need to verify everything before Monday. But it's Friday afternoon, and staring at PDFs isn't how you want to end the week. You'll look at them on Monday - unless something more urgent comes up.
This is how compliance checks slip. Not through negligence, but through the relentless pressure of more urgent tasks. Document verification is important but rarely urgent, so it gets pushed.
We've added AI-powered document verification to LetAdmin.
The Problem: Manual Document Review Is Tedious
When an applicant provides their documents, you need to verify:
Identity Documents (Passport, Driving Licence)
- Is the name correct? Does it match the application?
- Is the document within its validity period?
- Does the photo match the person? (For in-person verification)
Proof of Address (Utility Bills, Bank Statements)
- Is the name the same as the ID?
- Is the address recent? (Within the last 3 months)
- Is it an acceptable document type?
Right to Rent (Share Code, Passport, Visa)
- Do they have the right to rent in the UK?
- Is their status time-limited or indefinite?
- When does any time-limited status expire?
- Does the name match their ID?
For each applicant, that's potentially 4-6 documents to examine carefully. For a joint tenancy with two applicants, that's 8-12 documents. Multiply by however many applications you're processing, and it's a significant time investment.
And the consequences of getting it wrong are serious. Miss an expired visa status, and your landlord could face civil penalties of up to £10,000 per illegal tenant.
The Solution: AI That Reads Documents For You
When an applicant uploads a document in LetAdmin, our AI analyses it automatically.
What the AI Extracts
From Identity Documents:
- Full name as it appears on the document
- Date of birth
- Document expiry date
- Document type (passport, driving licence, ID card)
From Proof of Address:
- Name on the document
- Address on the document
- Document date
- Document type (utility bill, bank statement, council tax)
From Right to Rent Documents:
- Right to rent status (indefinite, time-limited, or no right to rent)
- Share code (if provided)
- Immigration status description
- Expiry date for time-limited statuses
- Whether the person is a British or Irish citizen
How It Works in Practice
Step 1: Applicant uploads document
They drag and drop their passport scan, or take a photo on their phone. PDFs and images are both supported.
Step 2: AI analysis begins immediately
Within seconds, the AI examines the document and extracts the relevant information.
Step 3: Results appear in the applicant's record
You see:
- What the AI found (name, DOB, expiry, status)
- Whether it matches the application details
- Any flags or concerns (expired document, name mismatch, time-limited status)
Step 4: You make the decision
The AI doesn't approve or reject documents - that's your job. But it does the tedious extraction work so you can focus on the judgement calls.
Real-World Example: Processing an Application
Before AI verification (typical agency workflow):
- Open passport scan, squint at the text
- Type the name into your notes
- Check the expiry date
- Open the utility bill, compare the name
- Note the address and date
- Open the Right to Rent document
- Try to understand what immigration status they have
- Look up the share code on the government website
- Write down the expiry date
- Move to the next applicant, repeat
Time per applicant: 15-20 minutes
With AI verification:
- Open the applicant's compliance section in LetAdmin
- See extracted data already populated: name, DOB, address, RTR status
- Confirm the details match
- Flag any concerns for follow-up
- Move to the next applicant
Time per applicant: 3-5 minutes
The AI handles the tedious extraction. You handle the decision-making.
Right to Rent Verification
Right to Rent checks are particularly complex because immigration status varies widely:
- British and Irish citizens - Indefinite right to rent
- EU Settlement Scheme - Settled (indefinite) or Pre-Settled (time-limited)
- Visa holders - Time-limited, varying expiry dates
- Asylum seekers - Specific rules and documentation
- Students - Tied to course dates
The AI understands these distinctions. When it analyses a Right to Rent document or share code result, it tells you:
- The person's current status
- Whether it's time-limited or indefinite
- When it expires (for time-limited statuses)
- Whether follow-up checks will be needed
This is the information you'd get from checking the government website manually - but extracted and presented automatically.
Name Matching Across Documents
One of the most tedious parts of compliance checking is confirming that names match across documents. Is "Catherine Smith" on the passport the same person as "Kate Smith" on the utility bill? Is "John Thomas Williams" the same as "J.T. Williams"?
The AI compares names across documents and flags discrepancies. Not every difference is a problem - nicknames and initials are common - but you'll know when something needs a closer look.
Document Storage and Audit Trail
Every document uploaded is stored securely with the applicant's record. If you ever need to demonstrate your compliance process - for a landlord, for an audit, or in case of dispute - the documents are there with timestamps showing when they were uploaded and verified.
What This Means for Your Agency
Faster processing - Application verification that took 30-40 minutes now takes 10-15.
Fewer errors - AI doesn't get tired or distracted. It reads every document consistently.
Better compliance - Flagged issues are harder to miss when they're highlighted automatically.
Audit confidence - Document storage and timestamps create a clear compliance trail.
For agencies processing 10-20 applications per month, this could save 5-10 hours of tedious document review time.
The Human Element Remains
To be clear: the AI doesn't replace your judgement. It doesn't approve or reject applicants. It doesn't make compliance decisions.
What it does is eliminate the tedious work of reading documents and extracting information. You still decide whether an applicant is suitable. You still verify that documents are genuine. You still use your experience to spot anything concerning.
The AI is a tool, not a replacement.
