Automatic Calendar Sync
When a viewing is booked in LetAdmin, it now appears automatically in your Google Calendar. No manual entry. No copy-pasting addresses. No remembering to add it later.
What Gets Synced
Each calendar event includes:
The basics:
- Property address
- Date and time
- Duration
The details you actually need:
- Viewer's name and contact number
- Number of attendees
- Key collection location (if applicable)
- Any notes from the enquiry
Property context:
- Bedrooms and bathrooms
- Rent and deposit
- Brief property description
When you're standing outside a property, everything you need is in the calendar event. No switching apps.
Real-Time Updates
Calendar sync isn't just for new bookings. When something changes, your calendar updates:
Viewer reschedules - The calendar event moves to the new time automatically. No need to update two places.
Viewing cancelled - The calendar event disappears. Your schedule is accurate.
Details updated - If you add notes or change key collection details, the calendar event updates.
This eliminates the "my calendar shows one thing but the system shows another" problem that plagues manual entry.
How It Works
Initial Setup (One Time)
- Go to Settings → Integrations in LetAdmin
- Click "Connect Google Calendar"
- Authorise LetAdmin to access your calendar
- Choose which calendar to sync viewings to
That's it. From then on, viewings sync automatically.
Per-User Calendars
Each team member can connect their own Google Calendar. Viewings assigned to them appear in their calendar. This means:
- Your calendar shows your viewings
- Your colleague's calendar shows theirs
- No one sees events they don't need
For agencies with multiple negotiators doing viewings, this keeps everyone's calendar accurate without manual coordination.
Shared Team Calendars
Alternatively, you can sync to a shared team calendar that everyone can view. This works well for small teams where everyone needs visibility of all viewings.

A typical synced viewing looks like this in your calendar:

10:30 AM - 11:00 AM
Viewer: Sarah Johnson (07700 123456) Attendees: 2 Moving: 1st February
Keys: Collect from office Notes: Looking for ground floor due to mobility
Property: 2 bed flat, £1,200/month
When you glance at your calendar, you know who you're meeting, what they're looking for, and where the keys are. No app-switching required.

The time savings are modest per viewing (maybe 5 minutes), but across 50-100 viewings per month, that's hours of tedious admin eliminated.
More importantly, you never arrive at a property without the information you need. No awkward moments calling the office because you forgot the viewer's name.
Handling Cancellations and Reschedules
One of the biggest problems with manual calendar entry is keeping it in sync. When a viewer reschedules, you need to remember to update your calendar. When they cancel, you need to delete the event.
In practice, this often doesn't happen promptly. You show up for a cancelled viewing because you forgot to delete the calendar event. Or you go to the wrong time because the reschedule didn't make it to your calendar.
With automatic sync, this problem disappears. The calendar always reflects reality because it's updated by the same system that manages the viewings.
