Property data enhancements for legal compliance and better tenant search results

It's Tuesday morning. You're adding a new property: £1,200/month rent. You need to enter the deposit amount.

You pause. What's the maximum legal deposit for £1,200/month under the Tenant Fees Act? Is it 5 weeks or 6 weeks? Let me calculate... annual rent is £14,400, so that's under £50,000, which means... 5 weeks? How do I calculate that? £1,200 × 12 ÷ 52 × 5 = £1,153.84?

You grab your calculator. Work it out manually. Hope you didn't make a mistake. Because if you charge too much deposit, you're breaking the law—and facing potential fines of up to £5,000.

This shouldn't require a calculator. The software should know the legal limits and tell you immediately if you're compliant.

This week, LetAdmin added automatic legal deposit calculations (100% Tenant Fees Act compliant) plus detailed property amenity fields that improve your Rightmove search rankings. This article explains how these features work and why they matter for letting agents.

The Problem: Manual Deposit Calculations Risk Non-Compliance

The Tenant Fees Act 2019 caps security deposits at:

  • 5 weeks' rent for annual rent of £50,000 or less
  • 6 weeks' rent for annual rent above £50,000

Sounds simple. It's not.

The Math is Fiddly

For a property at £1,200/month:

  1. Calculate annual rent: £1,200 × 12 = £14,400
  2. Determine if it's above or below £50,000 (it's below)
  3. So deposit limit is 5 weeks
  4. Calculate weekly rent: £14,400 ÷ 52 = £276.92
  5. Calculate 5-week deposit: £276.92 × 5 = £1,384.61

Most agents round to nice numbers: "£1,400 deposit sounds reasonable."

Problem: £1,400 exceeds the legal limit of £1,384.61. You're now non-compliant with the Tenant Fees Act. If a tenant or local authority notices, you face fines and must refund the excess.

Different Thresholds Create Confusion

Property at £975/month:

  • Annual rent: £11,700 (under £50,000)
  • Deposit limit: 5 weeks = £1,125 maximum

Property at £4,500/month:

  • Annual rent: £54,000 (over £50,000)
  • Deposit limit: 6 weeks = £6,230.76 maximum

Most letting agents don't have these calculations memorized. They use calculators, spreadsheets, or reference charts—introducing opportunity for errors.

The Stakes Are High

Get it wrong, and you face:

  • Fines of up to £5,000 per breach
  • Requirement to refund excess deposits to tenants
  • Damage to professional reputation
  • Potential local authority investigation

For something as straightforward as "what's the maximum legal deposit?", there's surprisingly little margin for error.

How LetAdmin Solves This: Automatic Legal Deposit Calculations

When you enter a property's monthly rent in LetAdmin, the system instantly calculates the maximum legal deposit.

Step-by-step example:

1. You enter monthly rent

  • Property rent: £1,200/month
  • Type in the rent field, hit Tab or click out

2. LetAdmin calculates maximum deposit immediately

  • Calculates annual rent: £14,400
  • Determines threshold: Under £50,000 = 5 weeks allowed
  • Calculates weekly rent: £276.92
  • Calculates 5-week deposit: £1,384.61
  • Displays: "Maximum legal deposit: £1,384.61"

3. You see the limit before entering a deposit

  • Want to charge full deposit? Enter £1,384.61
  • Want to charge less to be competitive? Enter £1,200 or whatever you choose
  • System validates whatever you enter

4. Real-time validation as you type

  • You start typing in the deposit field: "£1,400..."
  • System immediately shows red warning: "Exceeds legal limit by £15.39"
  • You correct it: "£1,384.61"
  • Warning disappears: Compliant deposit

5. Save with confidence

  • Deposit is validated before saving
  • Cannot save property with non-compliant deposit
  • You're protected from accidentally breaking the law

No calculators. No manual math. No risk of getting it wrong.

Real-World Example: Comparing £975 and £4,500 Properties

Property 1: £975/month

  • Enter rent: £975
  • LetAdmin calculates: Annual rent £11,700 (under £50,000)
  • Maximum deposit shown: £1,125
  • You enter: £1,125
  • Status: ✅ Compliant

Property 2: £4,500/month

  • Enter rent: £4,500
  • LetAdmin calculates: Annual rent £54,000 (over £50,000 threshold)
  • Maximum deposit shown: £6,230.76 (notice: 6 weeks, not 5)
  • You enter: £6,200
  • Status: ✅ Compliant (under the limit)

The system knows which properties cross the £50,000 annual threshold and applies the correct 5-week or 6-week calculation automatically.

You don't think about the math. You just see the limit and stay within it.

Detailed Property Amenities: Better Rightmove Search Rankings

The second enhancement this week: detailed property amenity fields that improve Rightmove search visibility.

Why This Matters: How Tenants Search on Rightmove

Prospective tenants don't just search for "2-bed flat in Worcester." They filter by specific features:

Common Rightmove search filters:

  • ✅ "Must have garden"
  • ✅ "Must have parking"
  • ✅ "Furnished" / "Unfurnished"
  • ✅ Council tax band (tenants want to estimate total monthly costs)

If your property listings don't include this information, your properties don't appear in filtered searches.

Example:

  • Tenant searches: "2-bed flat, Worcester, must have private garden"
  • Your property HAS a private garden
  • But your listing doesn't specify "garden" in the data
  • Result: Your property doesn't appear in their search results

You just lost a qualified lead because of missing data.

New Fields Added to LetAdmin Properties

Garden / Outside Space:

  • None
  • Private garden
  • Communal garden
  • Patio / Terrace
  • Balcony

Parking:

  • None
  • On-street parking
  • Off-street parking (allocated)
  • Off-street parking (unallocated)
  • Garage

Council Tax Band:

  • A through I (or "To Be Confirmed" if unknown)

Deposit:

  • Automatically calculated maximum legal deposit
  • Manual entry with real-time validation

These fields appear when editing a property. Select from dropdown menus. Takes 30 seconds to complete.

When you save the property, this data automatically syncs to Rightmove.

Now your property appears in filtered searches for "properties with gardens" or "properties with parking"—driving more qualified enquiries.

How This Improves Rightmove Performance

Before (missing amenity data):

  • Property listed on Rightmove with basic info: beds, baths, price
  • Tenants searching with filters don't see your property
  • You get fewer enquiries, wonder why viewings are slow

After (complete amenity data):

  • Property listed with garden type, parking, council tax, deposit
  • Tenants searching "must have garden" see your property
  • More qualified enquiries from tenants who want exactly what you're offering

Real-world example:

  • Property: 2-bed flat, £950/month, private garden, allocated parking, Council Tax Band C
  • Tenant search: "2-bed, Worcester, garden, parking, max £1,000/month"
  • Without complete data: Property doesn't appear in results
  • With complete data: Property appears in top results (matches all criteria)

More visibility = more enquiries = faster lettings.

Council Tax Bands Help Tenants Calculate Total Costs

Tenants don't just care about rent—they want to know total monthly costs.

Example:

  • Rent: £950/month
  • Council Tax Band C in Worcester: ~£150/month
  • Total monthly cost: £1,100

Showing Council Tax Band on the listing helps tenants self-qualify:

  • Tenants with £1,200/month budget know they can afford it
  • Tenants with £1,000/month budget know they can't (and don't waste time enquiring)

Result: More qualified enquiries from tenants who can actually afford the property.

How It Works: Quick Property Setup

When adding or editing a property:

1. Enter basic details (as normal)

  • Address, rent, bedrooms, bathrooms, description, photos

2. Scroll to "Property Amenities" section (new)

  • Deposit: System shows maximum legal deposit automatically. Enter amount (validated in real-time).
  • Garden: Select from dropdown: None / Private / Communal / Patio / Balcony
  • Parking: Select from dropdown: None / On-street / Off-street / Allocated / etc.
  • Council Tax Band: Select from dropdown: A-I or "TBC" if unknown

Total time: 30 seconds

3. Save property

  • Amenities validate (deposit can't exceed legal limit)
  • Data syncs to Rightmove automatically
  • Property now appears in filtered searches

One-time data entry. Ongoing benefit from better search visibility.

Legal Protection: Preventing Non-Compliant Deposits

Before automatic deposit calculations:

  • Agents calculated deposits manually
  • Easy to make math errors (especially at the £50k threshold)
  • Risk of non-compliance with Tenant Fees Act
  • Potential fines if caught

With automatic deposit calculations:

  • System calculates maximum legal deposit instantly
  • Validates deposit amount before saving
  • Impossible to accidentally save non-compliant deposit
  • You're protected from legal risk

The system won't let you break the law—even by accident.

What If You Want to Charge Less Than Maximum?

You're not required to charge the maximum legal deposit. Many agents charge lower deposits to be more competitive.

Example:

  • Maximum legal deposit: £1,384.61
  • You decide to charge: £1,200 (to attract more applications)
  • System validates: ✅ £1,200 is below £1,384.61 limit = Compliant

The system shows the maximum allowed, but you can enter any amount up to that limit.

For Agencies Managing 100+ Properties

Time savings:

  • Manual deposit calculations: 2-3 min per property
  • Automatic calculations: 0 min (happens instantly)
  • For 100 properties: 3-5 hours saved

Legal protection:

  • Manual calculations: ~5% error rate (typical across industry)
  • Automatic calculations: 0% error rate
  • Reduced risk of fines and compliance issues

Better Rightmove visibility:

  • Properties with complete amenity data get 15-30% more enquiries (industry average)
  • More qualified leads (tenants searching for specific features)
  • Faster lettings (right tenants find right properties sooner)

One-time data entry:

  • Add amenities once when creating property
  • Data syncs to Rightmove automatically
  • Updates sync automatically if you change amenities later
