- Log into Rightmove, manually enter all property details, upload photos, set pricing
- Log into Zoopla, do the same thing again
- Log into OnTheMarket, repeat
- Log into your website CMS, update there too
- Send details to your email database manually
Two hours later, the property is finally listed everywhere. But you've done the same data entry four times, and there's a typo in the Zoopla description you'll discover next week.
This week, we built automatic property portal integration into LetAdmin. Add a property once, click "Publish to Portals," and it appears on Rightmove, Zoopla, OnTheMarket, and your website simultaneously—with all details consistent, photos in the right order, and pricing synchronized.
This article explains how automatic integration works, what it saves you, and why it matters for agencies trying to list properties faster than competitors.
What You Actually Experience
Before automatic integration:
Your admin adds a new property in LetAdmin (15 minutes):
- Property details, photos, description, pricing
Then manually uploads to Rightmove (20 minutes):
- Re-enter address, bedrooms, bathrooms, pricing
- Upload photos again (in the right order)
- Write description (slightly different format than LetAdmin)
- Set availability dates
Then manually uploads to Zoopla (20 minutes):
- Same process, different interface
Then manually uploads to OnTheMarket (15 minutes):
- Again, same data, different system
Total time: 70 minutes per property
With automatic integration:
Your admin adds a new property in LetAdmin (15 minutes):
- Property details, photos, description, pricing
Then clicks "Publish to Portals" (30 seconds):
- LetAdmin pushes to Rightmove automatically
- LetAdmin pushes to Zoopla automatically
- LetAdmin pushes to OnTheMarket automatically
- LetAdmin publishes to your website automatically
Total time: 16 minutes per property
Time saved: 54 minutes per property
If you list 10 new properties per month, that's 9 hours saved—more than a full working day of manual data entry eliminated.
What Gets Connected Automatically
LetAdmin integrates with systems letting agents already use:
Property Portals:
- Rightmove (listings, photos, updates, status changes)
- Zoopla (listings, photos, updates, status changes)
- OnTheMarket (listings, photos, updates, status changes)
Accounting Software:
- Xero (rent transactions, landlord payments, tenant deposits)

How Integration Actually Works (In Simple Terms)
You don't need to understand the technical details, but here's the basic flow:
Step 1: One-Time Setup (5 minutes)
In LetAdmin, go to Settings → Integrations → "Connect Rightmove"
You'll see: "Allow Rightmove to read your property listings? This will let Rightmove pull properties, photos, and updates automatically."
Click "Allow" → Done.
Step 2: Automatic Sync (Happens in Background)
Every hour (or when you manually click "Sync Now"):
- LetAdmin sends updated property listings to Rightmove
- New properties appear on Rightmove within minutes
- Price changes sync automatically
- Photo updates sync automatically
- Status changes (Let Agreed, Let) sync automatically
Step 3: Disconnect Anytime
Changed your mind? Click "Disconnect Rightmove" in settings. The connection terminates immediately. Rightmove can no longer access your property data.
The security model ensures:
- Rightmove never sees your staff passwords
- Rightmove only gets property data, not tenant financial data or private notes
- If Rightmove's systems get compromised, you can disconnect instantly without changing any passwords
Real-World Example: Listing a Property to All Portals
Let's walk through what actually happens when you add a new property:
Monday, 10:00am - You add the property in LetAdmin:
- Address: 42 Oak Street, Manchester M1 2AB
- Type: 3-bed semi-detached
- Rent: £1,200 PCM
- Photos: 12 images uploaded
- Description: "Beautifully presented 3-bedroom semi..."
- Available from: 1st December
You click "Save Property" → Property saved in LetAdmin (takes 10 seconds)
Monday, 10:01am - You click "Publish to Portals":
- LetAdmin converts your property to Rightmove's format automatically
- Pushes to Rightmove API
- Converts to Zoopla's format
- Pushes to Zoopla API
- Converts to OnTheMarket's format
- Pushes to OnTheMarket API
- Publishes to your website feed
Monday, 10:15am - Property goes live everywhere:

You change the rent in LetAdmin, click "Sync to Portals"
Tuesday, 11:05am - Rent updated everywhere:
- Rightmove: £1,150 PCM
- Zoopla: £1,150 PCM
- OnTheMarket: £1,150 PCM
- Your website: £1,150 PCM
No manual portal logins. No copy-pasting. No risk of forgetting to update one portal.
What About Security?
Common concern: "If Rightmove can pull my property data, can they access everything?"
Reality: No. Here's how it works:
Granular Permissions
When you connect Rightmove, you grant specific permissions:
- ✅ Read property listings (yes, they need this)
- ✅ Read property photos (yes, they need this)
- ❌ Read tenant financial data (no, they don't need this)
- ❌ Read private internal notes (no, they don't need this)
- ❌ Modify or delete properties (no, they only read data)
Revocable Access
If you disconnect Rightmove in settings:
- Their access terminates instantly
- They can no longer pull property data
- You don't need to change any passwords
- Your other integrations (Zoopla, Xero) keep working
Audit Trail
Every API request is logged:
- Which integration accessed your data?
- When did they access it?
- What data did they request?
- Did the request succeed or fail?
You can review this in Settings → API Activity Log. If something looks suspicious, you'll know immediately.
What If the Portal's API Changes?
Common concern: "What happens if Rightmove changes their API and LetAdmin breaks?"
Reality: We handle it automatically.
Property portals occasionally update their APIs (add new fields, change formats, update endpoints). When this happens:
- We monitor portal APIs continuously - We're alerted within hours if a portal changes their API
- We update LetAdmin's integration - Usually within 24-48 hours
- The fix deploys automatically to all agencies - No action required from you
- Sync resumes automatically - Your properties keep flowing to portals
You never need to "upgrade your integration" or "install a new connector." It just keeps working.
What About Accounting Software Integration?
Property portals are important, but accounting integration is where agencies save serious time:
Before Xero integration:
End of month reconciliation (4-6 hours):
- Export rent transactions from LetAdmin (CSV file)
- Import into Xero manually
- Match transactions to tenancies
- Fix mismatches and duplicates
- Generate landlord payment reports
- Export again for landlord statements

Maintenance platform integration: Tenant reports repair, job created in maintenance software (Fixflo, Arthur) automatically.
Email marketing integration: New property added, automatically sent to Mailchimp/Campaign Monitor as property alert.
Inventory software integration: Tenancy starts, inventory report requested from inventory provider automatically.
The goal: LetAdmin becomes the hub connecting all your agency systems—no manual data entry, no duplicate records, no keeping systems in sync.
